The Repeat-Event Checklist: Preparing Your Next Tournament
Preparing a repeat tournament should begin with the previous event’s records, not a copied announcement. Confirm what you will repeat, what you will change, and which old details are no longer reliable. Returning teams notice consistency, but they also expect the organizer to fix known problems.
Close the previous event first
Reconcile results, expenses, outstanding issues, and sponsor commitments. Gather the schedule, accepted-team list, supplier notes, and feedback in one working record. Identify which documents contain private information and limit access appropriately. A shared planning folder is useful only if the team knows which files are current and who maintains them.
Decide the new event promise
Review divisions, team cap, format, game guarantee, and venue hours. A previous sellout does not automatically justify a larger field. Model the additional games and staffing before expanding. Confirm the venue and key suppliers again; last season’s price, availability, and permissions are not a new booking.
Carry forward specific improvements
Turn each priority into a practical change. If check-in queues were the problem, define a new arrival plan, desk layout, or staff briefing. If coaches missed updates, choose a clearer official channel and schedule owner. Assign deadlines so improvements are completed before registration opens rather than becoming another post-event intention.
Reopen with accurate information
Create or update the event page with the new dates, terms, and contacts. Remove stale registration links and check that shared graphics match the live page. Invite returning teams through appropriate established channels without implying their place is reserved unless you actually offer that arrangement. Keep a review checkpoint before the final schedule is released.
A practical example
If the first event had eight teams and 15 games, increasing to twelve teams requires a new format calculation. Do not keep the old court-hour estimate just because the event name and venue are unchanged. Expansion should follow a workable schedule and budget.
Your working checklist
- Close prior accounts and commitments.
- Reconfirm venue and supplier terms.
- Assign owners for three improvements.
- Check every date and link before reopening.
