Tournament Check-In Checklist for Staff and Volunteers
Tournament check-in works best when team verification, spectator admission, and general questions have separate routes. Give volunteers a small set of decisions they can make confidently and an escalation contact for everything else. A friendly welcome cannot compensate for contradictory instructions.
Prepare the desk before arrivals
Use the final accepted-team list, the current schedule, and the registration requirements published to coaches. Include the team contact, division, outstanding items, and confirmation status without exposing unnecessary personal details. Confirm which entrance teams should use and when the desk opens. Keep a printed fallback or another agreed offline reference where appropriate.
Use a consistent team sequence
Ask for the team name and division, match the entry to the accepted list, check the required documents through the organizer’s approved process, and explain the next step. Give the coach a clear location for the first game and a route for later updates. A volunteer should not decide an eligibility dispute or invent an exception at the desk.
Keep payment and eligibility questions controlled
A registration submission, payment record, and approval decision may have different statuses. Give staff the correct reference for each. If a coach says a payment is missing, move the conversation to the designated organizer rather than reading private details aloud in a queue. Record the issue and its owner so the same question does not restart with each shift.
Review the first arrival wave
Watch where the queue forms and what questions repeat. Move signage or add a greeter if visitors are entering the wrong line. Brief replacement volunteers on unresolved cases and schedule changes. At the end of check-in, reconcile missing teams with the competition lead so a late arrival does not silently disrupt court operations.
A practical example
If two teams share a similar name, verify the division and registered coach before marking either present. A mistaken check-in can produce a missing-team call, a wrong court assignment, and a result attached to the wrong entrant. A few seconds of confirmation prevents several downstream corrections.
